At Parihar Photography, we value the trust our clients place in us and strive to deliver exceptional photography services for every occasion. This Refund & Cancellation Policy outlines the terms and conditions related to booking cancellations and refunds.

By booking our services and making any advance payment, you acknowledge that you have read, understood, and agreed to the terms of this policy.

1. Booking and Advance Payment

To confirm your booking with Parihar Photography, an advance payment is required at the time of reservation. This advance secures your event date on our calendar and initiates the pre-production process.

The advance payment is utilized for various pre-event preparations, including but not limited to:

  • Reserving and blocking your event date
  • Booking and coordinating with team members (assistants, second shooters, videographers)
  • Equipment preparation, rentals, and logistics
  • Travel arrangements (where applicable)
  • Outsourcing requirements such as drone operators, editors, album designers, and printing vendors
  • Administrative and planning costs

2. Cancellation Policy

2.1 Cancellation Notice Period

Clients who wish to cancel their booking must inform Parihar Photography at least 3 weeks (21 days) prior to the scheduled event date.

Cancellation requests must be submitted in writing via email to contact@pariharphotography.in or through a formal written communication, clearly stating:

  • Client’s full name
  • Booking date and event details
  • Reason for cancellation (optional)
  • Contact information

Cancellations communicated only over phone calls, WhatsApp, or SMS will not be considered official until confirmed in writing via email.

2.2 Late Cancellations

Cancellations made less than 3 weeks (21 days) before the scheduled event date will be considered late cancellations. In such cases:

  • The advance payment will be non-refundable
  • Any additional payments made beyond the advance may also be forfeited at the discretion of Parihar Photography, depending on the expenses already incurred and outsourcing commitments made
  • No partial refunds will be issued for late cancellations

2.3 Last-Minute Cancellations (Within 7 Days)

Cancellations made within 7 days of the event date will result in:

  • Forfeiture of the entire advance payment
  • Forfeiture of any partial/balance payments already made
  • No refund under any circumstances except for verified force majeure situations

3. Refund Policy

3.1 Advance Payment — Non-Refundable

The advance payment made at the time of booking is strictly non-refundable under any circumstances. This is because the advance amount is allocated and spent across multiple outsourcing arrangements and pre-event preparations as soon as the booking is confirmed, including:

  • Team coordination and scheduling
  • Equipment booking and rental fees
  • Outsourced services (drone, video editing, album printing, etc.)
  • Administrative and planning expenses
  • Reservation of the event date (which prevents us from accepting other bookings for that date)

By making the advance payment, the client agrees to and accepts this non-refundable condition.

3.2 Additional Payment Refunds

For any payments made beyond the initial advance, refund eligibility will be evaluated on a case-by-case basis depending on:

  • The notice period of cancellation (must be 3+ weeks for any refund consideration)
  • Expenses already incurred on the project
  • Outsourcing commitments already made
  • Equipment and team bookings that cannot be cancelled

Any approved refund will be processed within 15-20 business days from the date of approval, through the original mode of payment.

3.3 Refund Calculation

If a refund is approved (for cancellations 3+ weeks in advance, beyond the advance payment), the calculation will be:

  • Approved Refund Amount = Total Paid – Advance Payment – Actual Expenses Incurred – Outsourcing Commitments

The final refund amount will be communicated in writing before processing.

4. Rescheduling Policy

We understand that unforeseen circumstances may arise. In such cases, rescheduling is preferred over cancellation.

  • Rescheduling requests must be made at least 3 weeks (21 days) before the original event date
  • The advance payment will be adjusted toward the new event date, subject to our availability
  • Rescheduling is allowed only once per booking without any additional charges
  • Subsequent rescheduling requests may incur additional charges based on the rescheduling date and our availability
  • If the rescheduled date is not available on our calendar, we will make every reasonable effort to accommodate an alternative date
  • Rescheduling must be done within 6 months of the original event date — beyond this, the booking will be considered cancelled with no refund

5. Cancellation by Parihar Photography

In rare and unforeseen circumstances (such as medical emergencies, natural disasters, or any situation beyond our reasonable control), Parihar Photography may need to cancel a confirmed booking. In such cases:

  • We will make every effort to provide an alternative photographer of comparable skill and experience from our network
  • If no suitable alternative can be arranged, the full advance payment will be refunded to the client within 15-20 business days
  • Parihar Photography shall not be liable for any indirect, consequential, or incidental damages arising from such cancellations
  • Any third-party costs (venue cancellation, vendor losses) are not our responsibility

6. No-Show Policy

If the client fails to communicate or is unavailable on the scheduled event date without prior notice, it will be treated as a no-show. In such cases:

  • The booking will be considered automatically cancelled
  • The entire advance payment will be forfeited
  • Any balance payments made will also be forfeited
  • No refunds will be provided under any circumstances

7. Service Delivery Disputes

If you have any concerns regarding the quality or delivery of our services after the event has been covered, please reach out to us within 15 days of receiving your final deliverables. We are committed to resolving any genuine concerns to the best of our ability through:

  • Re-editing of specific photographs (within reason)
  • Additional retouching
  • Other reasonable remedies as mutually agreed

However, refunds will not be issued for services already rendered and delivered, as photography is a creative service and final outputs are subjective in nature.

Concerns raised after 15 days of delivery will not be considered for re-editing or any form of resolution.

8. Force Majeure

Neither party shall be held liable for any failure or delay in performance due to circumstances beyond reasonable control, including but not limited to:

  • Natural disasters (floods, earthquakes, storms, cyclones)
  • Pandemics or government-imposed restrictions
  • Civil unrest, riots, or political instability
  • Severe weather conditions making travel impossible
  • Power outages or major technical failures
  • Curfews or transportation strikes
  • Any other act of God or force majeure event

In such cases, both parties will work together in good faith to reschedule the event to a mutually convenient date without penalty. No refunds will be processed for force majeure events — only rescheduling will be offered.

9. Partial Service Cancellations

If a client wishes to cancel only a part of the booked service (e.g., cancelling videography while retaining photography, or cancelling one of multiple events):

  • The same 3-week cancellation notice applies
  • Partial refunds (if eligible) will be calculated proportionally
  • The advance payment portion related to the cancelled service remains non-refundable
  • Any outsourced commitments for the cancelled portion will be deducted from any potential refund

10. Mode of Refund

All approved refunds will be processed through the original mode of payment used by the client at the time of booking. Refunds may take 15-20 business days to reflect in the client’s account, depending on:

  • Payment gateway processing times
  • Bank verification procedures
  • External factors beyond our control

For UPI / bank transfer payments, refunds will be processed to the same account from which payment was received.

11. Disputes and Chargebacks

In case of any payment dispute or chargeback initiated by the client without prior communication with us:

  • The booking will be immediately suspended
  • All photos, videos, and deliverables will be withheld until the dispute is resolved
  • Legal action may be initiated for wrongful chargebacks or false claims
  • The client agrees to communicate with us directly before approaching any third-party dispute resolution

12. Modifications to This Policy

Parihar Photography reserves the right to modify, update, or amend this Refund & Cancellation Policy at any time without prior notice. Any changes will be reflected on this page with an updated “Last Updated” date. We encourage clients to review this policy periodically.

The policy in effect at the time of your booking will be applicable to your specific arrangement.

13. Governing Law and Jurisdiction

This policy is governed by and construed in accordance with the laws of India. Any disputes arising out of or in connection with this policy shall be subject to the exclusive jurisdiction of the courts located in Rampur, Uttar Pradesh.

14. Acknowledgment and Acceptance

By booking our services and making an advance payment, the client confirms that:

  • They have read this entire Refund & Cancellation Policy
  • They understand and accept the non-refundable nature of the advance payment
  • They acknowledge the 3-week cancellation notice requirement
  • They agree to abide by all terms outlined in this policy
